PREAMBLE

The 26th European Company Sport Games – ECSG ATHENS 2027 are organized by the Hellenic Organization for Company Sport & Health (HOCSH), hereinafter referred to as "the Organizer", under the authority and regulations of the European Federation for Company Sport (EFCS).

The Games bring together thousands of employees from across Europe through sport, promoting health, friendship, inclusion, fair play and intercultural exchange.

The following Terms & Conditions define the rules governing participation in the Event, together with the Organizer's Privacy Policy.

GENERAL TERMS & CONDITIONS

1. Acceptance of the Terms and Conditions

Participation in the ECSG ATHENS 2027 implies full acceptance of these General Terms and Conditions.

The Organizer reserves the right to amend these Terms whenever necessary. Updated versions shall become effective upon publication on the official website.

2. Scope

These Terms apply exclusively to services provided directly by the Organizer through the official ECSG ATHENS 2027 registration platform.

Accommodation, transportation or any other services purchased through third parties are governed by their own terms and conditions.

Greek Law shall govern these Terms.

The competent Courts shall be those of Athens, Greece.

3. Registration

a) Registration

Registration shall be made exclusively through the official ECSG ATHENS 2027 registration platform.

b) Eligibility

Participation is open to employees from:

• Companies
• Public Organizations
• Associations
• Individuals

eligible under the regulations of the European Federation for Company Sport (EFCS). Registration for minors under 18 years of age is not allowed. Participation will be considered only after the full registration fee has been paid.

c) Athlete Registration Fee Includes

• Participation in one sport
• Opening Ceremony
• Closing Ceremony
• Accreditation
• Official Welcome Package
• Medical First Aid during competitions
• Access to official event activities
• Free public transportation + Airport transfers
• 5 km and 10 km Athens Company Run Event

d) Accompanying Person Registration Fee Includes

• Opening Ceremony
• Closing Ceremony
• Access to official social events
• Official Welcome Package
• Access to competition venues
• Free public transportation + Airport transfers
• 5 km and 10 km run at the end of the Games

e) Registration Availability

Registrations will be accepted according to venue capacities and on a first-come, first-served basis.

f) Sport Cancellation

The Organizer reserves the right to cancel any sport if the minimum number of participants is not reached. In this case, registered participants may receive a full refund or register at another sport.

Venue and Schedule Changes

The Organizer reserves the right, at its sole discretion, to modify or replace any competition venue, training venue, event location, competition schedule, timetable or other elements of the Event if deemed necessary for operational, technical, safety, security, weather-related or other organizational reasons, or in order to ensure the successful and smooth delivery of the ECSG ATHENS 2027.

Such changes shall not entitle participants to any refund, compensation or damages.

g) Validation of Participation

Participation becomes valid only after:

• Full payment is received
• Completion of registration
• Submission of all required documents
• Acceptance of the Terms and Conditions

No Show Policy

A participant who has completed registration and fails to attend the ECSG ATHENS 2027, without prior written cancellation in accordance with the Cancellation Policy shall be considered a No Show.

In such cases:

• no refund of registration fees shall be granted
• all registration benefits and services shall be missed

the Organizer shall have no obligation to provide any services or other benefits, including participation in competitions, accreditation, welcome package, transportation services, ceremonies, social events and any other benefits included in the registration fee.

h) Individual Registration Fees

Payment

Accepted payment methods: Bank Deposit.

Invoicing: You will receive an invoice either from the registration system or as a manual invoice issued by the Organizer. Complete invoicing details are required.

4. Cancellation Policy

Participant Cancellation

a) The right of withdrawal can be exercised by contacting the Organizer in writing and via email at info@hocsh.org & secretariat@hocsh.org.

Refund in Case of Withdrawal

• Cancellation before: February 25^th, 2027 — 100% refund.
• Cancellation between February 2^nd, 2027 and February 25^th, 2027 — 50% refund.
• Cancellation after February 25^th, 2027 — no refund.

It is possible to replace a registered person with another at no cost until February 2^nd, 2027. From February 2^nd, 2027 onwards, the replacement of a participant’s name is not guaranteed and must be validated by the organizing committee.

Participant Substitutions

Substitutions may be accepted until:

subject to Organizer approval.

Event Cancellation

Should the Event be cancelled due to force majeure or exceptional circumstances, refund conditions shall be announced by the Organizer.

5. Accommodation

Participants may:

• arrange accommodation independently
• reserve through the Official Accommodation Partner Erasmus S.A.

Accommodation booking conditions shall be governed by the selected provider. All information and contact details for Erasmus S.A. are available at the website https://athens2027.org/ . In case of booking through Erasmus S.A., payment and cancellation terms will be provided by Erasmus SA.

6. Insurance & Medical Responsibility

a) The participant or their organization is fully responsible to ensure proper insurance coverage for the participant.

b) The participant must comply with the specific participation terms established by the national member organizations of the European Federation for Company Sports in which they are geographically affiliated.

c) The participant agrees to abide by the competition’s sports and safety rules as defined by the organizer. Participants must appear at the competition with equipment in perfect working condition, properly maintained, and suitable for the event. If the sports regulations require it, participation may be allowed only after an inspection or safety check. Participation may be refused by the organizer at any time.

d) The participant is personally responsible for ensuring proper insurance coverage for any equipment brought to the event. The participant is also obligated to secure the necessary certificates and permits required for transporting sports equipment considered to fall under the weapons category.

Please note that it may be necessary to present such certificates and permits when traveling by air, and in certain cases, specific approval must be obtained from the airline for both entry and exit.

Each participant is individually responsible for having adequate insurance covering:

• accidents
• medical expenses
• civil liability

Participation is at the participant's own responsibility.

The Organizer provides First Aid services during competitions but assumes no responsibility for personal insurance coverage.

Participants must comply with all sport-specific regulations.

7. Image Rights

The Organizer may photograph or film the Event.

Participants authorize the use of their image, voice and likeness for promotional and communication purposes relating to ECSG ATHENS 2027 without financial compensation.

Commercial use by third parties requires prior written authorization.

These Terms are governed by Greek Law.
